Borrowing From MSU

MSU students, employees, and affiliates receive borrowing privileges. Montana residents may also apply for borrowing privileges. Anyone is welcome to use library materials in the building. Checkout policies are listed below.

All library materials must be properly checked out before they are taken from the building. The borrower is responsible for the materials until they are returned. The borrower bears sole responsibility for returning materials on time.

MSU Library observes the strictures on "Nondisclosure of Library Records" as stated in the Montana Code Title 22-1-1103. The library will not reveal the names of people who have checked out library materials.

Undergraduate Students

A valid MSU CAT CARD must be presented to check out library materials. MSU CAT CARD's or replacements are available at the CAT CARD Office SUB 107. Library user records are automatically updated daily. Visiting students/scholars must present a signed letter of request from the department head, who will act as the visitor's sponsor.

Faculty and Staff

Library user records are automatically updated daily. New permanent, adjunct, or affiliate faculty/staff are advised to contact their department to begin the process of obtaining a Banner record.

Faculty and staff may designate individuals, over 18 years of age, as surrogate borrowers. To request this privilege, surrogates must present a signed letter on department letterhead from the sponsoring faculty or staff. This privilege is extended for the duration of the current term, or the sponsoring faculty or staff may specify a date on which this privilege is to expire. The sponsoring faculty or staff assumes all responsibility for items checked out and fines accrued.

Resident

To apply for a Montana Resident Courtesy Borrower's Card, you must provide photo identification and proof of Montana residency. You must be 16 years of age or older to apply. Present this borrower's card when checking out materials.

Returning Books

Items must be returned or renewed on or before their due date or you will be billed for overdue charges. The borrower bears sole responsibility for returning materials on time.

Items can be returned to either the Renne Library or the Creative Arts Library. Both libraries have a book drop located inside the entrance. Renne Library has an overnight book drop located to the right of the entrance doors that can be used when the library is closed.

Renewing Books

Items must be returned or renewed on or before their due date or you will be billed for overdue charges. The borrower bears sole responsibility for returning or renewing materials on time.

Items may be renewed in person, by phone, or online (see Renew My Materials).

MSU students and Montana Resident Courtesy Borrowers are allowed 2 renewals on books and government documents in the general collection. MSU faculty and staff are allowed 1 renewal. AV materials, Videos/DVDs, and periodicals are not renewable. All items are subject to recall after 3 weeks, if requested by another patron.

Overdue Fines

Items must be returned (or renewed) on or before their due date or you will be billed for overdue charges.

  • The fine rate for most overdue materials is $0.50 day/item.
  • Periodical and video/DVD fines are $2.00 per day/item.
  • Fines for overdue reserve materials are $2.00 day/item.
  • The maximum accumulative overdue fine is $50.00/item.

For accidental damage, mutilation, or loss of library materials, the patron will be billed for the cost of repair or replacement plus a $25.00 processing fee. Items that have been overdue for 30 days will also be billed for replacement.

MSU students and faculty/staff with bills of $25.00 or more ($5.00 for Montana Resident Courtesy Borrowers) will have all borrowing privileges suspended until the bills are paid.

Unpaid undergraduate and graduate student bills are sent to the MSU Student Accounts Office once a month for collection. Unpaid Montana Resident Courtesy Borrower bills may be turned over to a collection agency. Patrons may also become liable for collection fees.

A courtesy email notice is sent prior to the due date for all renewable items to remind patrons to renew or return their materials. Overdue notices are sent the first Thursday following the due date. Bill notices are sent the Tuesday following the date the user record is billed.

The Library assumes no responsibility for incorrect address or contact information see Change of Address for more information. The borrower bears sole responsibility for returning materials on time. Non-receipt of courtesy notices is not a mitigating factor with regards to overdue charges.

Holds and Retrievals

Holds

Hold requests can be made in person, by phone, or online by clicking on the "Place Hold" link in the items catalog record.

Library staff will recall the item from the person to whom it is checked out. All items are subject to recall after 3 weeks from the date of checkout.

Patrons are notified via email when the requested item is available for pick up. Items are held for 2 weeks at The Circulation Desk before being re-shelved.

Retrievals

Patrons may request library staff to retrieve an item that is available on the shelf, and not currently checked out. Please be prepared to provide both the item's title and library call number when making requests.

Retrievals are performed once a day Monday-Friday. Requests received in the morning will generally be filled by the afternoon on the same day. Requests received in the afternoon will generally be filled by the following day.

Patrons are notified via email when the requested item is available for pick up. Items are held for 1 week at the Circulation Desk before being re-shelved.

We cannot retrieve items from the following collections:

  • Reference
  • Special Collections
  • Course Reserves
  • Newspapers

Schedule a Video for Classroom Use

Renne Library houses a collection of videos for instructional purposes that faculty may reserve for in-class use on a specified date. To ensure that a video is available for use on a given date, please plan ahead and complete our contact form at least two weeks in advance.

Use the library catalog to search for the video you need. To make your search more efficient, select Advanced Search and limit your results by selecting 'video' from the 'location' pull-down menu.

Group Study Rooms

Renne Library has 11 rooms set aside for group study. All rooms are equipped with a PC and large screen monitor. Dry-erase boards are also provided. Group study rooms may be by groups of 2 or more.

To reserve a study room

  • Click on Reserve a Group Study Room on the homepage of the Library's website.
  • Click on the time slot you want to reserve.
  • Login with your NetID credentials (info)
  • Enter a brief description (name or class) and click on submit.
  • At the time of your reservation, proceed to the room. If the room is occupied, inform the group that you have a reservation at that time.

Study room policies

  • Rooms may be reserved by groups of 2 or more for 2 hours each day.
  • Reservations can be made up to 8 days in advance.
  • Students, faculty, staff and the community may reserve the rooms on the 1st floor (1A-1F). Members of the public will need to go to the Circulation or Reference desk to have a reservation made for them.
  • 3rd floor group study rooms (rooms 327-332) are reserved for student use only.
  • When not reserved, Group Study Rooms are open on a first come, first served basis.
  • Group Study Room users without a reservation must vacate the room when requested by a group with a valid reservation.
  • Conversation should be held to a reasonable level, as rooms are not soundproof.
  • Rooms must be left in a clean and orderly condition.
  • The Library is not responsible for personal property left in rooms. Any personal items found will be placed in the library's lost and found.
  • Report any damage immediately to the Circulation desk. If any damage is discovered after your use, you may be held responsible.

Change of Address

All MSU student and employee address changes should be made through your MSU Banner account (see My Info). Library user records are automatically updated daily.

Montana Resident Courtesy Borrowers should contact MSU Library in person, by phone, or by email.
